Our service - the basics

As part of our role as managing agents we carry out the following:

  • Set a service charge budget
  • Collect service charge either monthly or quarterly, taking court action if necessary
  • Set up and collect a sinking fund as necessary
  • If required collect ground rent on behalf of freeholder
  • Carry out regular routine maintenance visits
  • Organise cleaning and gardening
  • Organise repairs
  • Organise decoration of communal parts
  • Organise the payment of communal electricity and water bills
  • Keep books and records with all monies being paid into a clients’ account
  • Prepare annual accounts
  • Hold Annual General Meetings and liaise with the residents throughout the year
  • Assist solicitors during the sale of the properties
  • Deal with enquiries generally

What we can offer owners and residents

Face-to-face management

At least two members of staff will have physical knowledge of every development. This is of great benefit when faults or problems are reported. 

Meetings

It is a statutory requirement of an incorporated company to hold Annual General Meetings but we find that frequently national agents never hold meetings.

Unless specifically agreed with the residents we always hold meetings at a time and place convenient to the development. The meetings are used to openly discuss the accounts and to set a service charge for the ensuing year. We always encourage owners to appreciate how the service charge is calculated.

Transparent accounting

We are Chartered Surveyors and as such have to adhere to strict client’s money accounting procedures. We open a new Client’s Bank Account for every development. Owners are welcome to inspect the financial records (including bank statements etc) of the management company.

Partnership

We aim to work with owners rather than simply dictating services. Where practical we discuss major projects at an owner’s meeting, taking account of owner’s views.

At every meeting we seek re-appointment from the owners.
